Front Desk Receptionist and Administrative Assistant

LFCDS, founded in 1888 and located on a 30-acre campus about 30 miles north of Chicago, Illinois, is a co-educational, independent day school serving 420 students from age 2 through eighth grade. Reports to Executive Assistant to the Head of School and Director of Special Projects 
Staff Member 

The Front Desk Receptionist serves as the first point of contact for visitors, parents, and students, creating a welcoming and positive impression of the school. This role is essential for managing daily office operations, maintaining communication between various school stakeholders, and ensuring a safe and efficient school environment. 

 
Key Responsibilities: 
  • Answering phone calls and directing inquiries, ensuring basic questions are addressed promptly.
  • Monitoring the main school entrances at Green Bay and Onwentsia.
  • Maintaining accurate records by managing parent and student sign-in/out logs and distributing parent lanyards accordingly.
  • Overseeing the check-in process for Raptor Guests and Contractors.
  • Handling various aspects of mail management, such as sorting, delivery, outgoing mail, and maintaining employee mailboxes.
  • Performing delivery tasks for items, people, and packages as needed.
  • Managing attendance by recording morning attendance, updating throughout the day, and sending attendance emails.
  • Admitting and monitoring early students into the vestibule before official opening hours.
  • Utilizing camera surveillance to ensure security measures are maintained.
  • Managing room reservations efficiently.
  • Providing and managing Guest WiFi access.
  • Arranging monthly birthday cards for the Head of School.
  • Facilitating the restocking of supplies in the GB216 copier room.
  • Ordering necessary Staples items for the stockroom.
  • Coordinating food orders for Faculty and Staff lunches, Trustee Dinners, and the Leadership Team.
  • Assisting with mailings as required.
  • Updating the Campus Map and Door Signage as needed.
  • Maintaining accurate Faculty and Staff lists, including birthdays, extensions, and titles.
  • Creating health folders for new students.
  • Updating school forms as needed.
  • Providing signage for events as required.
  • Assisting with the preparation of gifts for various occasions.
  • Plays a key role during emergency situations.
  • Assist with attendance during crisis situations.
  • Performing other duties as assigned.

Qualifications: 
  • High School Diploma or GED 
  • College Diploma preferred 
  • Experience in a receptionist role 
  • Willingness to learn 
  • Compensation range of $35,000 - $50,000, based on experience and level of education, with a full benefits package.
